Privacy Policy

This explains what personal data FettleFix collects, why, and what rights you have over it. It applies both to shop owners and staff who hold a FettleFix account, and to the customers of those shops who look up a repair on a status page.
1. Who we are
FettleFix is provided by Will Gardiner, trading as FettleFix, who is the data controller for the account and billing information described below. For data you enter about your own customers, the controller/processor relationship is set out in section 3 and in our Terms of Service.
2. Data we collect from shop accounts
When you sign up and use FettleFix as a shop, we collect:
- Name and email address for you and any staff you add
- A securely hashed password (we never store the password itself, only a one-way hash)
- Your shop's name and the ticket prefix you choose
- Your chosen plan and billing period; payment card details are handled entirely by Stripe, our payment processor, and never touch our own servers
- Basic technical data needed to keep the service secure, such as IP addresses tied to sign-in attempts and rate limiting
3. Data your shop enters about its own customers
When you take in a job, you enter your customer's name, contact details, and details of the item and work involved, sometimes including photos. You are the controller of this data, not us; we process it only to provide the service to you, as your data processor. You're responsible for having a lawful basis to hold it and for your own customers' rights over data they've given you.
Your customers can look up their own repair using a ticket number and the email or phone number on file, and can exchange messages with you through that status page. That message content is stored as part of the job record, the same as everything else on the ticket.
4. Why we process this data
- To provide the service you've signed up for (performance of a contract)
- To keep accounts secure, including rate-limiting and fraud prevention (legitimate interest)
- To send service emails: status updates, estimate notifications, password resets, service reminders (performance of a contract, or your own request in the case of reminders)
We don't use your data, or your customers' data, for advertising, and we don't sell it to anyone.
5. Who we share data with
We use a small number of service providers to run FettleFix, each only processing what they need to do their job:
- Resend, for sending transactional emails - based in the United States, covered by Standard Contractual Clauses with the UK Addendum
- Stripe, for processing subscription payments
- Cloudflare, for hosting, the database, and file storage
We don't share your data with anyone else unless required by law.
6. How long we keep data
While your account is active, we keep your data for as long as you use FettleFix. If you cancel, your account stays readable, but not writable, for twelve months so you can export everything, after which it's deleted.
7. Your rights
Under UK GDPR, you (and, where it's their own data, your customers) have the right to:
- Access the personal data held about you
- Have inaccurate data corrected
- Have data deleted, where there's no overriding reason to keep it
- Export your data in a portable format (FettleFix already gives you CSV export for this at any time)
- Object to processing based on legitimate interest
- Complain to the ICO (ico.org.uk) if you think we've got something wrong

8. Cookies
FettleFix uses a single cookie to keep you signed in. It's strictly necessary for the service to work and isn't used for tracking or advertising, so it doesn't require a consent banner under UK rules.
9. Changes to this policy
If we make a material change, we'll let account holders know by email before it takes effect.
